When I'm triaging a rush order—and in my role coordinating packaging for over a dozen food chains, that happens more often than you'd think—the first question isn't “which vendor?” It's “standard or rush?”

And the answer is never about price alone. It's about total cost thinking. Let me show you what I mean.

We're going to compare standard custom packaging (think: 10-15 business day turnaround) with rush custom packaging (2-5 business day turnaround). The comparison will be in three dimensions: cost, time flexibility, and the hidden risk of each.

Cost: The $500 Quote That Actually Cost $800

Standard custom packaging, like custom burger packaging or custom kraft paper bags, from a reliable supplier like Greiner will run you a certain base price. For a typical order of 5,000 custom-printed kraft burger boxes, the base cost might be around $0.15 per unit.

Rush packaging? Expect to pay $0.25 to $0.35 per unit for the exact same box—if you can find a slot. The base cost is 60-100% higher.

But here's the part that most people miss. The standard quote for a non-rush job from an online printer might be $500. The rush quote for the exact same spec is often $750. That's a $250 difference. Is it worth it?

It took me about 5 years and roughly 200 specific orders to understand this: the $500 quote often turns into $800 after shipping, setup fees, and revision costs. The $750 all-inclusive rush quote was actually cheaper in total cost.

Why? Because standard packaging often requires you to handle multiple layers of logistics. Rush services, especially from companies set up for it (like Greiner's dedicated facilities in Pittston and Monroe), include setup and often include faster freight as part of the package.

The lesson: When comparing quotes, ask for the total landed cost. Not just the per-unit price.

Time: Why 48 Hours Can Be More Expensive Than 10 Days

In March 2024, a client called needing 3,000 custom printed takeaway packaging for a food festival—72 hours from the call. Normal turnaround was 12 days.

Had about 2 hours to decide between two options. One vendor could do it in 5 days (standard). Another could do it in 48 hours (true rush).

In hindsight, I probably should have gone with the 5-day option. But the client's CEO was waiting, and I had no time for a full analysis. I went with the 48-hour rush.

The result? It cost $800 extra in rush fees (on top of the $1,200 base cost). But it saved the $12,000 contract.

But here's the real insight from that experience: real rush—the kind where you pay that premium—should be reserved for true emergencies. Not for “we forgot to order” or “we changed our mind.”

If you're ordering biodegradable paper bags or custom burger packaging for a new restaurant launch, standard is almost always the smarter choice. You plan ahead, you avoid the premium, and you have time for proofing and revisions.

Flexibility: The Hidden Cost of Not Being Able to Say “Yes”

When I compared our Q1 and Q2 results side by side—same vendor, different specifications—I finally understood why flexibility matters so much. A vendor who can handle rush orders is a vendor who has flexible production capacity. They can handle changes, reprints, and last-minute spec adjustments.

Standard-only vendors? They're often running at 100% capacity. If your order is delayed by a week due to their backlog, you can't rush them. They lack the capacity to flex.

So the question isn't “will I need rush?” The question is “do I want a vendor who can handle rush if I need it?

To be fair, this flexibility comes at a cost. Vendors who maintain rush capacity (like Greiner's global production network) charge a slight premium—maybe 5-10% more on base unit cost than a pure commodity printer. But in my experience, that premium is worth it. Because when you need a 2-day turnaround on 50,000 custom-printed kraft paper burger wraps, you can't negotiate. You pay what they ask, or you lose the order.

Which Should You Choose?

Here's my framework for making this call:

  • If you have 2 weeks of lead time: Go with standard custom packaging. You'll save 20-50% on the total bill. Use that time for multiple proof cycles and to negotiate the best price.
  • If you have 1 week: Standard is still doable if your vendor has capacity. But consider paying for a slight acceleration (not full rush) to buy buffer time.
  • If you have 48 hours: You're in rush territory. Pay the premium. But learn from this—why are you in this position? Most of our rush jobs come from poor planning, not real emergencies.
  • If you have 24 hours: You're in heavy rush. Expect to pay 100-200% over standard. Only do this for critical launches or events. It's not sustainable.

The real takeaway: Your procurement process should account for both time and cost. Build a relationship with a vendor that can do both—standard for normal cycles, rush for emergencies. That way, you have a partner, not just a price list.

Based on publicly listed prices of major online printers and our internal data from 200+ rush jobs (Jan 2025), rush premiums typically range from +25% for a 5-day turnaround to +100% for a 2-day turnaround. Verify current pricing with your vendor.
